It's the question I get in almost every conversation with a company: "which is best — ChatGPT, Claude or Gemini?" The answer disappoints anyone hoping for a clear winner: for ordinary office work, all three are good enough, and the raw-capability gap matters less than people think. The weight of the decision sits in a few practical things that have nothing to do with which model "writes more nicely."
Where your team already works
The most boring criterion is also the most important: what you already use. If the whole company is on Microsoft 365, Copilot sits right inside Word, Excel and Outlook, where people work anyway. If you're on Google Workspace, Gemini is built into Docs and Gmail. If the team has already started, unofficially, using ChatGPT in the browser, you have a starting point. The best tool is often the one people are already next to.
What happens to your data
Then comes the data question, and here the options genuinely separate. A free or personal account and a business account behave completely differently. On the business tiers — Team, Enterprise, Workspace — the three providers don't train their models on your data and give you administrative control. On personal accounts the guarantees are weaker. If client data or sensitive information moves through the company, settle that before comparing features. Under the EU AI Act, it's also part of the diligence you need to be able to show.
Control and administration
For a team, it matters who sees what, how easily you add and remove people, whether you can set common rules. The business tiers of all three offer admin consoles, at different levels of detail. Look at this early, before 40 people each create a personal account you can't do anything with.
Cost, thought through properly
The per-user price looks high until you compare it with the hours saved. The trap is to look only at the subscription. The cost also includes the setup time, who administers it, and how much of the team actually uses the tool after the first month. A paid subscription nobody opens is more expensive than one used daily.
The part that matters more than the choice
An empty ChatGPT and an empty Gemini give equally uneven results if nobody has configured them on your processes. The value comes from instructions, sources and working habits — things that look almost the same regardless of the model.
